The Organizing Zone

 Ever have one of those days when you feel very disorganized, aren’t getting anything accomplished and as a result find yourself getting extremely stressed out? Whether you feel this way because you spent an inordinate amount of time trying to locate an important file, or had to deal with constant interruptions while attempting to put together a presentation for an important client meeting, or are trying to tackle too many tasks simultaneously, there is no need to be overly concerned as we all encounter periods like this regardless of the length of time in business.

However, this is a sign that shouldn’t be ignored. It is one that deserves your utmost attention and it is of paramount importance that you take time to assess the situation as the future of your business can be affected by too many days like this.  The good news is that in many cases the solution can be as simple as getting better organized. If you focus on managing your time more efficiently or re-organizing your work space for greater productivity or possibly both, the benefits of having cultivated these skills can positively impact the growth and prosperity of your business.

Write your to-do list. Placing a greater emphasis on organization is key and the process can easily be started with the creation of a daily to-do list. The best time to create this list is at the end of each day as the priorities are usually clearest at that point.  This tool will immediately give your day structure and focus as tasks are prioritized and realistic daily goals are set.

Stay Focused. Once your daily focus is clear, it is imperative that you are able to stay on task as much as possible.  But as we all know, there are countless distractions and interruptions during the course of any given day.  However, the key is in deciding in advance how they will be handled.  For example, create a schedule for periodically answering e-mails during the day instead of checking your in-box each time there is an alert, schedule a set time to make phone calls, and close your door if need be so that you can complete your presentation on time.

Get Organized. In addition, it is essential to evaluate your work area in an effort to maximize your productivity.  Some examples of the type of questions to ponder include: Are the supplies that are used most frequently accessed?  Is the space being used effectively?   Is there an established filing system and is it easy to use?  Is there sufficient space for all necessary furniture and office equipment? As you begin to address these and other similar questions, a clearer picture of what changes need to be instituted will evolve.

As you strive to be more organized, not only will you provide your company with a solid foundation upon which to grow, but you will personally feel a sense of accomplishment. Also, you will now have more time in your day to tackle that never ending list of tasks, you will be better able to accommodate the unexpected request or project and most important have more time to position your business for the future.
